Subscription Terms
1 These Terms
These terms govern the self-managed Bramble subscription. They form an agreement between:

You accept these terms when you start a free trial or, if you did not take one, when you complete payment for a subscription. There is nothing to sign. The version that applies to you is the one published when you started your trial or paid, whichever came first, and we keep dated copies of every version.
Bramble is sold to businesses and organisations for use in their trade or profession. It is not a consumer product, and by starting a trial or subscribing you confirm that you are acting for a business or organisation, not as a private individual. If that is not you, email us before you start and we will talk about it.
A note on the other agreement
If Bramble built your map for you under a signed Service Agreement, that agreement governs the build and takes precedence over these terms wherever the two differ. These terms then apply only to the annual platform subscription itself.
2 What the Subscription Includes
A subscription entitles you to publish and keep live one map, hosted by Bramble
at a web address of the form explore.bramblemaps.com/your-property. It includes:
- The guest map, with no Bramble crest or vendor branding on it
- An operator portal for adding and editing your own story points
- Your brand colours and fonts on the guest experience
- The option to embed the map in your own website or mobile app
- A downloadable scan code for your map, to put on your own signage
- Aggregated visitor analytics for your map
You write and publish your own content. Story writing, photography, audio narration, site visits and translation are done-for-you services, quoted separately, and are not part of this subscription.
2.1 One subscription, one map
The subscription is priced per published map, not per account. A second map — a seasonal trail, a second site — needs a second subscription. You can add one at any time at the same price.
2.2 Changes to the product
Bramble is actively developed and features will be added and improved during your term. We will not remove a feature listed in this section during a term you have already paid for. If we intend to remove one at renewal, we will say so in the renewal reminder under Section 5.
3 Fees, VAT and Payment
There are two ways to pay for a self-managed subscription, both per map and both plus VAT:

The middle column is what is charged when a subscription starts. If you start with the 30-day free trial in Section 3.2, nothing is charged on the day you sign up, and because we hold no card nothing is taken automatically when it ends either — these are the amounts you pay when you choose to subscribe.
Paying annually saves £300 a year. The annual price is not a discount and is never reduced further; monthly costs more because it carries the cost of collecting twelve payments instead of one, and the risk that a map's signage outlives its subscription.
Monthly billing is available on the self-managed subscription only. Where Bramble has built a map for you, the annual platform fee under your Service Agreement remains annual.
If you are VAT-registered, enter your VAT number at checkout and it will appear on your invoice. A VAT invoice is issued for every payment and is available in your billing portal.
Payment is by card, collected and processed by Stripe. Bramble does not see or store your card details.
Annual is the option we would steer you to, and not only on price: a property open for part of the year has one invoice to handle rather than twelve. Monthly exists because paying a year up front to a supplier you have not worked with before is a real ask, and we would rather you started than hesitated.
3.1 Price changes
The price is fixed for each period you have paid for. We may change the price for future periods, and we will always give you at least 30 days' notice by email before a new price is charged — in the renewal reminder on annual billing, and as a separate email on monthly. If you do not accept a new price, cancel before it takes effect and nothing further is charged.
3.2 Free trial
A new self-managed subscription starts with a 30-day free trial, and we do not ask for a card. You create the map yourself and it exists as soon as you confirm your email address. Nothing is charged during the trial, and nothing is charged at all if you decide against it. Your map is fully live throughout, with no features held back.
Nothing happens automatically at the end. Because we hold no card, we cannot charge you, and we will not. We email you before the trial ends. If you do nothing, the trial simply ends on its date — there is no invoice, no debt and nothing to cancel.
What "ends" means, precisely. Your map stops being available to your guests: its web address and any embedded copy show a short notice instead of the map. Nothing you created is deleted. Every stop, story, photograph and setting is kept exactly as you left it, and subscribing restores the map, at the same web address, as it was. We keep an unconverted trial's content for twelve months from the day the trial ends, after which we may delete it; we will email you before we do.
The trial runs once per customer, identified by the email address used to create it. It is not available in addition to the guarantee in Section 4 as a way of extending it: the 30 days in Section 4 run from your first payment, so the two periods sit end to end rather than overlapping — thirty days to build it before you pay, then thirty more to change your mind after you do.
We may limit how many trials run at one time, and if we have no place free we will say so rather than start one we cannot support.
An abandoned trial does not reserve a web address for twelve months. Section 6.2's reservation exists to protect printed signage, and while a trial map can carry a scan code, a trial that was never paid for has not established the kind of long-standing signage that reservation is there to protect. If you subscribe later and the address has gone, we will help you choose another.
3.3 Failed payment
If a payment fails, on either billing option, we will retry and contact you. Your map stays live for 14 days from the first failed attempt. If payment has not succeeded by then, the map goes offline and Section 6 applies.
4 30-Day Money-Back Guarantee
If Bramble is not right for your property, email hello@bramblemaps.com within 30 days of your first payment and we will refund everything you have paid in that period — the full annual payment, or every monthly payment taken so far. No explanation is required, and we will not ask you to justify the decision.
On a refund, your map stays exactly as it is for 30 days and then goes offline. The 30 days are so that anything already printed and out in the field keeps working while you take it down, and so you are not rushed. Section 6 then applies to your content and your web address.
The guarantee runs once, from your first payment on a subscription. It does not repeat at an annual renewal, and it does not reset each month on monthly billing — after the first 30 days, cancelling under Section 5 is the route, and on monthly billing that is never more than a month away.
The price is never discounted. The guarantee exists so that you do not have to take a view on an unfamiliar supplier in order to find out whether the product works for you.
5 Term, Renewal and Cancellation
5.1 Term
Annual: a 12-month term, beginning on the date of your first payment.
Monthly: a rolling one-month term. There is no minimum commitment and no contracted period beyond the month you have paid for.
5.2 Automatic renewal
Both options renew automatically until you cancel — annually for successive 12-month terms, monthly for successive months.
On annual billing we will email you approximately 30 days before each renewal, stating the date, the amount, and the price if it has changed. A renewal charge you were not told about is a failure on our part, not a renewal.
On monthly billing we do not send a reminder before every payment, because a monthly email saying nothing has changed is noise. You will always be told in advance of a price change under Section 3.1, and every payment is receipted.
5.3 Cancelling
You can cancel at any time, in your billing portal or by emailing us. Cancellation takes effect at the end of the period you have paid for — the end of your 12-month term, or the end of the current month — and no further payment is taken. Your map stays live until then.
Outside the 30-day guarantee in Section 4, we do not refund the unused part of a period you have paid for. You keep the service you paid for until it expires.
5.4 Switching between monthly and annual
You can move from monthly to annual at any time; the annual term starts when the next payment is taken. Moving from annual to monthly takes effect at the end of your current annual term, since we do not refund an unused part of it.
5.5 Cancelling by us
We may end a subscription by giving you 60 days' written notice, and will refund the unused part of any period you have paid for, pro rata, if we do. If we are ending every subscription, or ending yours because we are stopping the service, Section 12 applies instead, with its longer notice and its frozen copy of your map. We may suspend or end a subscription immediately for a breach of Section 9, in which case no refund is due.
6 When a Subscription Ends
Guests reach your map by scanning printed QR codes on signs, posters and leaflets that stay in the ground long after a subscription does. This section exists because of that, and it applies the same way however you paid — a monthly subscription can end eleven months sooner than an annual one, and your signage will not know.
6.1 Your content
You own your content and we will provide a copy on request. There is no form to fill in and no window to catch: ask at any point while we still hold it, which under Section 6.3 is twelve months from the map going offline. We will send you an export of everything you put in: your story text, your uploaded images and audio, and the coordinates of each story point, in a standard, usable format. There is no charge for this. We are not able to export the map's visual styling or the hosted experience itself.
6.2 Your web address, and the posters already printed
Your map's web address is reserved for 12 months after the map goes offline. We will not reassign it to another property during that period, and anyone scanning an existing QR code will reach a plain notice saying the map is no longer available, rather than an error or somebody else's map. If it is Bramble itself that has stopped, Section 12.4 applies instead: the map stays up as a frozen copy, not just a notice.
After 12 months the address is retired permanently. It is never reissued to anyone else — so a QR code printed on a sign in 2026 can never, at any point, lead a visitor to a different property's map. It simply stops resolving. That is a deliberate choice against reuse, and it costs us nothing but a reserved word.
6.3 Deletion
We delete your content 12 months after the map goes offline, unless you ask us to delete it sooner, in which case we will do so within 30 days and the export in 6.1 is no longer available.
7 Support
Support is by email at hello@bramblemaps.com. We aim to reply within two working days, Monday to Friday, excluding English public holidays.
Support covers the product: how to use the portal, something not working as described, questions about your map's setup. It does not include writing your content, sourcing or editing your photography, on-site visits, staff training, or building your map for you. Those are done-for-you services and we are glad to quote for them.
There is no telephone support line and no out-of-hours cover on this subscription. If you need a response commitment for a specific event date, tell us before the event and we will tell you honestly whether we can give one.
8 Availability — No Uptime Guarantee
This subscription carries no uptime guarantee, and none should be inferred from the price. Bramble is hosted on third-party infrastructure and depends on services outside our control, including hosting, mapping data and mobile networks at your property.
We work to keep maps available and we monitor for failures, but we do not commit to a percentage of uptime, we do not offer service credits, and we cannot guarantee that your map will be reachable at any particular moment.
If your event depends on the map working, do not rely on it as the only way guests can find their way. Weddings, open days, ticketed events and trails should have a printed fallback. This is not a disclaimer for its own sake — mobile signal alone will fail on parts of most rural properties, whatever we do.
The map needs mobile signal to open the first time and to load photographs and audio. Once it is open, the stops and their stories stay on the guest's phone as they walk out of coverage. So put your scan code where there is a bar or two of signal — the gate, the car park, reception — rather than at the far end of the grounds.
We may take maps offline briefly for maintenance. Where such work is planned and likely to be noticeable, we will give reasonable notice by email. If you tell us the date of an event in advance, we will not schedule planned maintenance on it.
We may also suspend your map where we have to — to deal with a security problem, or because a court, a regulator or one of our providers requires it. We will tell you as soon as we can, and put the map back as soon as we are able.
The map is a guide to your stories, not a safety or navigation device. Paths, hazards and where your guests may go remain yours to manage, exactly as they would be with a printed map.
9 Your Content and Acceptable Use
Your content stays yours. You are responsible for it — including anything added to your map through an “add a stop” link you have shared with others — and by publishing it you confirm that:
- you own it or have permission to publish it, including for any photograph, artwork, illustrated map or audio recording you upload;
- it does not infringe anyone's intellectual property, and you have a lawful basis to publish any personal data it contains — for example, a photograph in which people can be recognised;
- it is lawful, and not defamatory, harassing, misleading or obscene;
- it does not misrepresent your relationship to a property, organisation or brand you do not represent.
Web addresses are allocated on a first-come basis, but we reserve the right to refuse or reclaim one that impersonates a property or organisation you are not authorised to represent.
You grant Bramble the licence needed to host, display and back up your content in order to provide the service. That licence ends when your content is deleted under Section 6.3.
We may remove content that breaches this section, and will tell you why. If anyone tells us your content breaks the law or their rights, we may take it down while we ask you about it, and we will tell you the same working day. We do not review content before publication, and publishing it does not imply we endorse or have checked it. If your content leads to a claim against Bramble, Section 13.5 says what you owe us.
9.1 Using your map in our marketing
We would like to show your map in Bramble's portfolio and case studies, and we will ask you first. You are free to say no, and saying no changes nothing about your subscription or your price.
10 Data Protection
Bramble complies with the UK General Data Protection Regulation and the Data Protection Act 2018.
10.1 Your data
To run your subscription we hold the contact and billing details you give us, and the sign-in credentials for your operator portal. Payment card details are handled by Stripe and never reach us.
10.2 Your guests
Guest use of your map is measured in aggregate only: page views and visitor counts for your map, with device and country breakdowns, and whether a guest allowed the map to use their location — never where they were. We do not ask guests to identify themselves, we do not hold names or contact details for them, and we do not track individuals between visits. A guest's location is used on their own device to place them on the map and is not sent to us or stored.
10.3 Content you upload
If you upload photographs or recordings featuring identifiable people, or stories that name them, you are the controller of that personal data and Bramble processes it on your behalf in order to publish your map. Schedule 1, at the end of these terms, is part of them: it is the written agreement the law requires between a controller and its processor, and it says exactly what we do with that data and who else touches it. Getting the necessary permissions is your responsibility under Section 9.
10.4 Where it is held
Bramble runs on the providers named in Schedule 1. Your map's database is in London, and so are the photographs and audio you upload. Some providers process data outside the United Kingdom, under safeguards recognised by UK law. We will email you at least 30 days before we add or replace a provider; if you object and we cannot resolve it, you may cancel under Section 5 and we will refund the unused part of the period you have paid for.
11 Intellectual Property
Bramble owns the platform: the software, the portal, the guest map experience, the poster templates and the Bramble name and marks. Nothing in these terms transfers any of that to you, and the subscription is a right to use it, not to own it.
You own your content, as set out in Section 9.
Bramble is free to reuse its own framework, templates and methods across other customers and properties. Nothing here prevents us from providing the same service to another property, including one near you.
12 Continuity
Bramble is a small team. You are paying in advance for a map your printed signage points at, so you are entitled to know what happens if Bramble stops. This section is that commitment. It applies if Bramble stops running the service for its customers — because we choose to close, because the company becomes insolvent, or because the business is sold to someone who does not carry it on. Ending every subscription under Section 5.5 and then closing counts as stopping, and this section applies to it. It does not apply if Bramble is sold to a new owner who goes on running your map under these terms; that is an ordinary transfer under Section 15.4. And it is separate from either of us ending your subscription alone under Section 5.
12.1 Notice. We will give you at least 90 days' written notice before we stop, where that is within our control.
12.2 Your content. Before the notice period ends we will send you a full export of everything you have put into your map — your writing, your photographs and your audio — in a standard, usable format. You own that content and always did; see Section 9.
12.3 Money. We will refund the unused part of any period you have paid for, pro rata, on the same basis as Section 5.5. That applies whether you pay monthly or annually.
12.4 Your map stays up for a year. This is the part that matters if you have printed anything. Before the notice period ends we will do three things. We will turn every published map into a static copy. We will move those copies to hosting that needs nobody at Bramble to keep it running, and pay for that hosting and for the bramblemaps.com domain 12 months ahead, so the copies stay at their existing web addresses without anyone at Bramble doing anything further. And we will send you your own copy of the static version of your map, so you can put it somewhere you control if you wish. Your QR codes, your posters and any link you have given out go on working through those 12 months, and the stories, photographs and audio go on loading.
12.5 What a frozen map does not do. We would rather be exact than reassuring. A frozen map is a copy, not a running service: you will not be able to edit it, nothing new can be added, the portal and the poster generator will be gone, and features that depend on us operating something — most likely the GPS triggering that opens a story as a visitor reaches it — may stop working. The map will still open and the content will still be readable. We will not be answering support questions about it, and nothing in this section is a promise of uptime.
12.6 The honest limit of this promise. 12.4 is deliberately cheap to keep — a static copy on a paid-up domain costs very little — and if we close by choice we will keep it in full. But if Bramble becomes insolvent, the company's affairs pass to an insolvency practitioner, and neither we nor these terms can make that person run anything or spend anything. In that case the copy we sent you under 12.4 is yours whatever happens, and anything we had already paid for stays paid for; but beyond that we cannot promise the frozen map stays up, and we do not. If a firmer arrangement matters to you, ask before you subscribe and we will talk about it.
13 Limitation of Liability
This section says how much Bramble can be liable to you for, and for what. It is written to be fair to both of us at the price you are paying, and each paragraph stands on its own.
13.1 The cap. Bramble's total liability to you, for all claims taken together, under or in connection with these terms and your use of Bramble — whether in contract, negligence or otherwise — will not exceed the greater of (a) the fees, excluding VAT, you have paid us in the 12 months before the first event that gave rise to a claim, and (b) £1,500. Refunds we owe you under Sections 4, 5.5 and 12.3 are paid in full and do not count towards this cap.
13.2 Events. Bramble is not liable for any loss you suffer because your map was unavailable, slow or not working during an event — a wedding, an open day, a ticketed trail or anything else — where the cause is mobile signal, the guest's device, or hosting, mapping or other services outside our control. Section 8 says why, and asks you to keep a printed fallback. Where the cause is our own fault, our liability is limited under 13.1 and 13.3 like any other claim.
13.3 Losses neither of us can claim. Neither of us is liable to the other for any of the following, whether direct or indirect and however it arises: loss of profit; loss of revenue; loss of business, goodwill or opportunity; or any indirect or consequential loss. Loss of your content is dealt with in 13.4, not here.
13.4 Your content. Please keep your own copy of the stories, photographs and audio you upload. Your story text and the position of each stop are held in a database whose provider keeps copies we can go back to. Your photographs and audio are stored once and are not separately backed up. If we lose your content through our own fault, we will restore what we can from those copies, and our liability for the rest is limited under 13.1 like any other claim. We are not liable for content lost for a reason outside our control.
13.5 Your content, our exposure. If your content breaks Section 9 and someone brings a claim against Bramble because of it, you will cover what it costs us: any damages, any settlement we reasonably agree, and our reasonable legal costs. We will tell you about the claim promptly and will not settle it without asking you first. 13.3 does not limit this paragraph.
13.6 What we do not limit. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded under English law.
14 Changes to These Terms
We may update these terms. The version that applies to you is the one in force when you accepted them — when you started your trial, or when you paid if you did not take one — until your next renewal.
If we change them in a way that materially reduces what you get or increases what you owe, we will tell you at least 30 days before the change takes effect — in the renewal reminder on annual billing, and by a separate email on monthly. Cancelling before the change takes effect is always available to you as the answer.
15 General
15.1 Governing law
These terms are governed by and construed in accordance with the laws of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
15.2 Disputes
We will both try to resolve any dispute by good-faith discussion first. If it is not resolved within 30 days, either of us may take it to the courts of England and Wales.
15.3 Entire agreement
These terms, together with the subscription details confirmed at checkout, are the entire agreement between us on their subject matter, and supersede any earlier discussion or representation. Where a signed Service Agreement exists, Section 1 governs which prevails.
15.4 Transfer
You may not transfer your subscription to another organisation without our written agreement, which we will not withhold unreasonably — a property changing hands is a normal event and we would rather move the map than lose it. We may transfer these terms to a new owner as part of a sale or reorganisation of the business, provided the new owner takes on every commitment in them, including Section 12, and we will tell you when that happens. A sale to someone who goes on running your map is not Bramble stopping, and Section 12 is not triggered by it.
15.5 Severability and waiver
If any part of these terms is found unenforceable, the rest continues to apply. If we do not enforce a right straight away, we do not lose it.
15.6 Notices
Notices to Bramble go to hello@bramblemaps.com. Notices to you go to the email address on your subscription, so please keep it current.
15.7 Things outside our control
Neither of us is responsible for failing to do something these terms require where something genuinely outside our control prevents it — a fire or flood, a power cut, a strike, an act of government, or a failure of the internet itself. Paying for what you have already received is not excused by this paragraph. If the problem goes on for more than 30 days, either of us may end the subscription, and we will refund the unused part of the period you have paid for as under Section 5.5.
S1 Schedule 1 — How We Handle Personal Data for You
This schedule is part of these terms. Section 10.3 says that where your content includes personal data — most often a photograph in which someone can be recognised, or a story that names a real person — you are the controller of it and Bramble is your processor. Data protection law requires a written agreement between a controller and a processor covering certain points. This is that agreement, written plainly.
S1.1 What we process, and why

S1.2 Your instructions
We process this personal data only to run your map as these terms describe, and on any further written instruction you give us. Publishing your content to the world is your instruction, and you decide what goes in and what comes out. If we think an instruction would break the law, we will tell you rather than follow it.
S1.3 Who at Bramble sees it
Only the people who need to in order to run the service — a very small number — and each of them is bound to keep it confidential.
S1.4 Keeping it secure
Your content is held with the providers below, each of which encrypts data on the way in and while stored. Your portal is protected by an access code that only you hold; we store a hash of it, not the code. Uploaded photographs and audio are stored under random file names and served over an encrypted connection; because they are published on your map, they are public by design. Your story text and stop positions are held in a database whose provider keeps point-in-time copies. Photographs and audio are stored once and are not separately backed up, which is why Section 13.4 asks you to keep your own copy. We monitor for errors and failures.
S1.5 Our providers
We use the following providers to run Bramble. Each processes personal data only on our instructions, under a written contract that holds it to at least the standards in this schedule. Where a provider is outside the United Kingdom, the transfer is covered by safeguards recognised under UK law — the UK's International Data Transfer Agreement or Addendum, or a country the UK recognises as adequate.

Two further services receive the internet address of a device, because a browser or one of our servers has to ask them for something. Neither is a processor acting on our instructions and neither is covered by the written contracts described above, so they are named here rather than folded into the table.

We will email you at least 30 days before we add or replace a provider. If you object and we cannot resolve it, you may cancel under Section 5 and we will refund the unused part of the period you have paid for.
S1.6 If someone asks about their data
If a person named or pictured in your content asks about their data — to see it, correct it or have it removed — the request is yours to answer, and the portal lets you edit or delete the content yourself. If they ask us instead, we will pass the request to you within two working days and help where you need us to.
S1.7 If something goes wrong
If we learn of a security breach affecting your content, we will tell you without undue delay and within 48 hours of confirming it, with what we know, so that you can decide whether the Information Commissioner or the people affected need to be told. We will help you with that decision, and with any assessment of risk you need to carry out, as far as our part of the service is concerned.
S1.8 When it ends
Section 6 says what happens to your content when a subscription ends: an export on request, and deletion 12 months after the map goes offline, or within 30 days if you ask sooner. That is the return and deletion the law requires, and it includes the copies our providers hold, within their normal deletion cycles.
S1.9 Showing you we do this
If you need to see that we do what this schedule says, ask and we will answer in writing — which providers we use, where your data is, and what has changed. If a regulator or your own obligations require an inspection, we will allow one on reasonable notice, at a time that suits us both, and at your cost unless it finds a problem.
S1.10 Data we hold about you, rather than for you
For completeness: to run your subscription we hold your email address, your property's name and map position, the internet address you signed up from and, once you pay, your billing details. For that data Bramble is the controller, not your processor, and our privacy notice on bramblemaps.com covers it. The same is true of the aggregate page-view figures for your map, which identify nobody.
